How to Switch Your WhatsApp Business API Provider Without Losing Your Number, Templates or Customers
Many businesses stay with a WhatsApp API provider they are unhappy with for one reason: they think switching means losing their number, their templates and their customer history. Slow support, a clumsy inbox, surprise charges or missing features pile up, but the fear of a messy migration keeps everyone quiet.
Switching is more manageable than most people expect, provided you know what moves and what does not. This guide explains how to switch your WhatsApp Business API provider (BSP) in India, what to prepare before you start, and how to avoid the usual downtime.
When Is It Worth Switching?
Switching costs you some effort, so do it for a real reason. These are the common ones:
Support that does not answer. When a template is rejected or a number is flagged, you need a person who replies the same day, not a ticket that sits for a week.
A tool that does not fit your team. If your staff still use the phone for half their work because the inbox is slow or hard to use, you are paying for software nobody likes.
Pricing you cannot predict. Meta's per-message charges are passed on by every provider, but markups, platform fees and add-ons differ. If your bill surprises you each month, read our guide to WhatsApp Business API pricing and compare line by line.
Missing features. Perhaps you need Instagram and Facebook messages in the same inbox, a Tally or Google Sheets integration, or an AI chatbot, and your current provider offers none of it.
If your only problem is one rejected template or one bad week, fix that first. Switch when the problem is the provider, not the one incident.
What Stays With You and What Does Not
This is the part that decides how painful the move is. In general:
Your phone number can move. The number is registered on a WhatsApp Business Account (WABA) with Meta, and it can be moved to a WABA managed by a new provider. You keep the same number your customers already have saved.
Your display name and business profile. These sit with the number and the business verification, so they normally carry over. Check them after the move.
Your messaging limit and quality rating. These are tied to the number, so they generally stay with it. Confirm this in Meta's current documentation or with your new provider before you start, because Meta updates its rules from time to time. Our guide to quality rating and messaging limits explains why this matters.
Your templates usually need to be created again. Templates belong to the WABA, not to the phone number. Plan to recreate them in the new account and wait for approval. Some setups allow templates to be copied between accounts under the same business, so ask your new provider what is possible in your case.
Your chat history stays with the old provider. Conversations are stored in the provider's system. Export what you need before you cancel.
Your contacts and opt-in records are yours. They should be exportable as a spreadsheet. If your provider will not give you your own contact list, that is itself a good reason to leave.
Step 1: Ask for Your Data Before You Tell Anyone
Before you announce a switch, export everything you are allowed to take: contact list with tags, opt-in dates and sources, template text, chat history if available, and any saved automation rules or chatbot answers. Keep it in a spreadsheet or document your own team controls.
Opt-in records matter most. If a customer agreed to hear from you, you need proof of when and how. Our article on WhatsApp opt-in and data privacy explains what to keep.
Step 2: Check the Business Verification Status
Business verification and display name approval sit with your Meta Business account, not with the provider. Log in to Meta Business Suite and confirm that your business is verified and that you have admin access under your own login. If your provider created the business account in their name, sort that out first, because you want to own the account, not rent it.
Step 3: Set Up the New Provider and Rebuild Templates
Create your account with the new provider and begin recreating templates while your number is still live with the old one. This is the step that saves you downtime. Submit your most-used templates first: order confirmations, payment reminders, appointment reminders and your main campaign formats.
Use the old template wording as a starting point, but use the move to clean up. Remove templates you never send, and fix wording that caused rejections. Our guide to message template approval best practices lists what usually gets a template rejected.
Step 4: Plan the Number Migration
The number can be registered with only one API setup at a time, so there is always a short switchover. Prepare for it:
Two-step verification. If a PIN is set on the number, you or the old provider must disable it or share it, or the new provider cannot register the number. Ask for this early, not on the day.
Pick a quiet time. Choose the lowest-traffic hours for your business, such as late night or an early weekday morning. Avoid festival weeks and sale days. If you run a store, do not switch the day before a big sale.
Warn your team. Tell staff the inbox will be unavailable for a short time, and tell them where to handle urgent calls.
Make the number available. Make sure the number can still receive an OTP call or SMS during registration. Our guide on which phone numbers work with the WhatsApp Business API covers this.
Step 5: Do the Switch and Test Straight Away
On switch day, your new provider walks you through registering the number on the new account. Once it shows as connected, test it before you tell anyone it is done:
Send a message to your own phone and reply to it. Send one approved template to a test number. Check that the display name, profile photo and business description look right. Check that incoming messages reach the right person in the inbox, and that your chatbot or auto-reply is working.
Only then should you retire the old account.
Step 6: Rebuild Automation and Integrations
Chatbot flows, auto-replies, assignment rules and integrations do not copy across between providers. List them before the move and rebuild them on the new platform. Typical ones are a greeting and away message, keyword replies, round-robin assignment to staff, billing or Tally links and Google Sheets syncs.
This is also a good time to tidy up. Many accounts carry old rules nobody remembers creating. Rebuild only what you still need.
What to Ask a New Provider Before You Sign
Will you help migrate my number, and what is the process? A good provider has done it before and can describe the steps.
What is the total monthly cost, apart from Meta's charges? Ask for the platform fee, any per-user or per-agent fee and any setup charge, in rupees.
Can I export my own contacts and chats at any time? Get the answer in writing.
Who owns the Meta Business account? It should be you.
What support do I get, in which hours and on which channel? Check what happens on a Sunday or a festival.

Common Mistakes When Switching
Cancelling the old plan first. Keep the old account active until the new one is tested and working.
Leaving templates for last. Approval can take time, so submit them early.
Forgetting the PIN. An unknown two-step verification PIN is the most common cause of a delayed migration.
Not telling the team. Staff who do not know about the switch will reply from the old tool and wonder why nothing works.
Switching during a busy week. A short outage costs far more on a sale day.
Frequently Asked Questions
Will my customers notice the switch? If it goes well, no. They see the same number and the same business name. They may notice a short gap in replies, which is why a quiet hour matters.
Do I lose my green tick? The verification status relates to your business and number, so it generally stays. Check the profile after the move. See our guide on the green tick for how it works.
How long does the migration take? The number move itself is often quick, but template approval and rebuilding automation take longer. Plan for a few days of preparation rather than a few minutes.
Can I use the same number on the WhatsApp Business app and the API at once? This depends on Meta's current rules, so ask your provider before relying on it. See WhatsApp Business API vs Business App.
Final Thoughts
A bad provider is not something you have to live with. Your number, your contacts and your opt-in records belong to you, and moving them is a project of days, not months, if you prepare. Export your data, own your Meta Business account, rebuild templates early, pick a quiet hour and test before you cancel.
