WhatsApp Business Labels: How to Organise Customers, Leads and Orders (and When You Need a CRM Instead)

If you run a shop, salon, clinic or coaching class on the WhatsApp Business app, your chat list is probably your entire customer database. A new enquiry, a pending payment, an order waiting for dispatch and a customer who needs a follow-up call all look identical: a name and a message preview.

Labels are the built-in way to fix this. They work like coloured tags that you attach to chats, so you can filter the list and see only what needs attention. This guide explains how labels work, a practical set of labels for common businesses, and the honest limits that appear once your volume grows. Menu names change between app versions, so check the current labels in your own phone.

    What Are WhatsApp Business Labels?

Labels are a feature of the **WhatsApp Business app**. You create a label with a name and a colour, then attach it to a chat or an individual message. Later you can filter your chat list by label to see every conversation that has it.

    A few facts worth knowing:

The app comes with starter labels. These include New customer, New order, Pending payment, Paid and Order complete. You can rename or delete them.

You can create your own. The Business app allows up to 20 labels at the time of writing, so you need to be selective.

One chat can carry several labels. For example, a customer can be both "Regular" and "Pending payment".

Labels are private. Customers never see them.

They are tied to the app account. Labels created in the Business app are not the same thing as tags in a CRM or in the API platform. If you move to the API later, you will need to recreate them as tags.

How to Create and Apply a Label

    The steps are short:

    1. Open the WhatsApp Business app and go to the menu, then Labels.

    2. Tap to add a new label, type a name and pick a colour.

    3. Open any chat, long-press it or use the chat menu, and choose Label chat.

    4. To filter, open Labels from the menu and tap the label to see every chat that carries it.

Labelling a message instead of a chat is useful for the specific message that matters, such as the one containing an address or a size confirmation.

A Practical Label Set (Keep It Under 12)

Twenty labels sounds generous, but a long list is hard to maintain. Use three groups.

**Stage of the customer (where is this person?)**

    New enquiry

    Interested

    Follow up

    Customer

    **Order status (what needs doing?)**

    Pending payment

    Paid

    Packed or ready

    Delivered

**Type or priority (who is this?)**

    Repeat customer

    Bulk or wholesale

    Complaint

That is 11 labels, which leaves room for a seasonal one such as "Diwali enquiry".

    Examples by Business Type

Clothing store: New enquiry, Size confirmed, Pending payment, Dispatched, Exchange request.

Salon: New enquiry, Appointment booked, Bridal or party package, Regular, Rescheduled.

Clinic: New patient, Appointment booked, Report pending, Follow-up due. Avoid putting health details in label names; keep them neutral.

Restaurant: Table booking, Party order, Home delivery, Complaint.

Coaching class: Demo class booked, Fee pending, Enrolled, Parent follow-up.

Electronics shop: Quotation sent, Awaiting decision, Installed, Warranty claim.

Build a Daily Routine Around Labels

A label is useful only if you look at it every day. A simple routine:

Morning (10 minutes): open Follow up and Pending payment. Message each of these people.

During the day: label every new chat as you answer it. It takes five seconds.

Evening (10 minutes): move finished chats to Delivered or Customer, and clear any Follow up labels you handled.

Weekly: open Interested and ask why these people have not bought yet. A short, friendly message, for example, "Still looking for the blue kurta? We have new stock arriving on Friday", often restarts the conversation.

Using Labels With Messages You Send

Labels can also help with outreach. In the Business app you can pick a label and send a message to the customers who carry it, which is handy for a pending-payment nudge or a "back in stock" note. Remember the limits: recipients must have saved your number, and group-style sends in the app are capped. We cover those caps in WhatsApp broadcast list vs group vs community vs API campaign.

Only message people who have agreed to hear from you, and always honour an unsubscribe request. See how to handle STOP requests.

Where Labels Start to Break Down

Labels are excellent for one person with a few hundred active chats. They struggle when:

More than one person answers. The Business app can be linked to a limited number of devices, and there is no assignment, so two staff members can reply to the same customer or nobody does.

You need history. A label shows the current state only. It does not tell you when a chat became "Interested" or how long it has been stuck there.

You need fields. Labels cannot store a customer's city, last purchase or birthday.

You want segmented campaigns. The Business app cannot run template campaigns to a segment with delivery and read reports.

You want automation. Labels do not trigger anything on their own. Moving a customer to "Pending payment" will not send a reminder.

If three or more of these apply to you, it is time to move to a proper platform. Our guide to sharing one WhatsApp number with your team explains the options, and WhatsApp CRM vs a traditional CRM shows what to expect.

What Changes When You Move to the API

On the WhatsApp Business API with VedLink AI, labels become **tags and contact fields** inside contact management. You can tag contacts by stage, city or product interest, build segments from them and send approved template campaigns to a chosen segment. Every chat lands in a shared team inbox where each conversation can be assigned to a person, and auto-reply triggers can answer or tag a chat based on keywords.

Plan the move calmly: export or note down your label logic first, decide which labels become tags, then recreate them. Your label names are a ready-made blueprint for your CRM structure, so the effort you spend on a clean set now is not wasted.

    Quick Checklist

    1. Keep your label set under 12 and name each one clearly.

    2. Group them by stage, order status and customer type.

    3. Label every new chat as you answer it.

    4. Review Follow up and Pending payment every morning.

    5. Do not put sensitive details in label names.

    6. Revisit the set every quarter and delete labels you never use.

A tidy label system will not make a customer buy. It will make sure no enquiry is forgotten, and for most small businesses that alone is worth the ten minutes a day.
