WhatsApp for Electronics and Appliance Stores: Warranty Reminders, Service Requests and Repeat Sales
A customer buys a washing machine from your shop in March. The invoice is on paper, the warranty card is in a drawer and the only record of the sale is a line in your billing software. Fourteen months later the machine stops working. The customer does not call the manufacturer first. They search their phone for your shop's number, because you are the person who sold it.
That moment is the whole opportunity for an electronics or appliance store. Your customers buy rarely, but they need help often, and they will remember whoever helps fastest. WhatsApp is where they already expect that help to arrive.
This guide covers how mobile shops, TV and appliance dealers, laptop sellers and small electronics retailers can use the WhatsApp Business API for after-sales service, warranty reminders and repeat sales, in a way that is easy for a small team to run.
Why Electronics Retail Suits WhatsApp
Three things make this category different from, say, clothing or groceries.
Purchases are high value and infrequent. A fridge or a phone is a big spend, so the customer wants proof, support and reassurance after the sale, not only before it.
Paperwork matters. Invoices, warranty cards, serial numbers and service job sheets all get lost. A PDF in a WhatsApp chat is easy to find again.
Problems are urgent. A dead laptop or a dripping air conditioner will not wait for tomorrow's office hours. Customers send a photo or a short video and expect a quick answer.
Because the customer messages you first in most of these cases, you can reply freely within the 24-hour window. Our guide to the WhatsApp 24-hour messaging window explains when a free reply is allowed and when you need an approved template.
Step 1: Send the Invoice and Warranty Details at the Time of Sale
The best time to start the relationship is at the counter. After billing, send a message to the customer's WhatsApp number with the invoice PDF, the product model, the serial or IMEI number and the warranty end date written out in plain words.
For example: "Thank you for shopping with us. Your invoice is attached. Product: 6 kg front-load washing machine. Warranty: 2 years from 14 March. For service, reply to this chat with a photo of the problem."
Two practical points. First, ask for permission to message the customer on WhatsApp while billing, and note it, because order and invoice updates are service messages but offers are marketing. Second, keep the serial number in the message text, not only inside the PDF, so staff can search for it later. We cover invoice automation in detail in How to Send Invoices on WhatsApp.
Step 2: Turn Service Requests Into Tickets
When a customer writes "my TV has no display", that message needs an owner, a status and a follow-up, not just a reply from whoever happens to see it first.
A shared team inbox makes this simple. Every conversation sits in one place, you can assign it to a technician or a service coordinator, add a tag such as "service request" or "in warranty", and add an internal note with the job sheet number. If the first person is busy, anyone on the team can open the chat and see the full history. Read more about the team inbox and why sharing one number across staff beats passing a phone around.
A short auto-reply helps while a human is busy. It should ask for what the technician needs: the product, the model or serial number, a photo or video of the fault and a convenient time for a visit.
Step 3: Keep the Customer Updated
Most complaints in after-sales service are not about the repair itself. They are about silence. Customers get annoyed when they do not know whether someone is coming, whether a part is on order or whether the item is ready for pickup.
Use a handful of approved utility templates for the key moments:
Request received: "Your service request for your refrigerator is registered. Reference number: {{1}}. Our technician will contact you within one working day."
Visit scheduled: "Our technician will visit on {{1}} between {{2}} and {{3}}."
Item ready: "Your laptop is repaired and ready for pickup. Please bring your invoice or this message."
Keep every message factual and promise only what your team can deliver. Do not write "within 2 hours" unless you can actually do it. Templates need approval from Meta, so write them plainly and avoid promotional language in utility messages. Our guide to message templates explains the categories and approval process.
Step 4: Warranty and AMC Reminders
Warranty and annual maintenance contract (AMC) reminders are the highest-value messages an electronics store can send, because they are useful to the customer and bring them back to you.
Here is a simple reminder schedule you can adapt:
30 days before warranty ends: "The warranty on your {{1}} ends on {{2}}. If you have any issue, now is a good time to get it checked. Reply here to book a service visit."
On the end date or just after: "Your warranty has ended. We offer an extended service plan for this product. Reply YES to know more."
Before an AMC expires: a renewal reminder with the date and a clear way to say yes.
To send these, you need the purchase date and warranty period stored against each customer. If your billing data lives in a spreadsheet, a Google Sheets integration can feed those dates into your campaigns. If you use Tally for billing, the Tally integration is worth a look. Reminders about a customer's own purchase are service messages, but if you include an offer for an extended plan, treat it as marketing and send it only to customers who have opted in.
Step 5: Repeat Sales Without Spamming
A customer who bought a phone two years ago may be ready to upgrade. A customer with an air conditioner may need a service before summer. These are real reasons to message, and they work better than a random festival blast.
Group your customers by what they bought, using tags such as "mobile", "television", "air conditioner" or "laptop". Then send relevant messages only: a pre-summer servicing offer to air conditioner owners, an accessory offer to new phone buyers, an exchange offer to people whose purchase is over two years old. Our article on WhatsApp contact segmentation shows how to build these lists.
Send fewer messages, and make each one specific. A customer who receives one useful reminder a quarter will keep your number. A customer who receives a daily offer will block it, and heavy blocking can hurt your account's quality rating.
Step 6: Use a Chatbot for the Repetitive Questions
Electronics shops get the same questions all day: store timings, whether a model is in stock, how to claim warranty, what documents are needed, where the service centre is. An AI chatbot trained on your own FAQs, price list and policies can answer these instantly, including late at night, and hand over to a person when the question needs judgement, such as a disputed repair.
Be careful about what you let a bot promise. It should not quote a price or commit to a replacement unless that information is in the material you gave it. Set a clear handoff for complaints and angry messages. Our guide to chatbot to human handoff covers when to step in.
Common Mistakes to Avoid
Messaging customers who never agreed to hear from you. Collect consent at billing.
Sending the same offer to everyone. A phone buyer does not need a refrigerator offer.
Leaving service chats unassigned. If nobody owns the chat, nobody replies.
Quoting repair costs by chat without inspection. Give a range only if you are confident, and say it is subject to inspection.
Storing serial numbers only on paper. Put them in the chat and in your records.
Frequently Asked Questions
Can I send warranty reminders on WhatsApp? Yes, using an approved template. A reminder about the customer's own purchase is generally a utility message. If you add an offer, it becomes marketing and needs opt-in.
Do I need the API, or is the WhatsApp Business app enough? If one person handles every chat, the app may be enough. When several staff share the number or you want automated reminders, the API is the better fit. See WhatsApp Business API vs Business App.
Can customers send photos and videos of the fault? Yes. Customers can send images and short videos in the chat, and your team can view them in the inbox.
How much does it cost? Our pricing page lists the plans. Meta's per-message charges are separate and change from time to time, so check the current rate card.
Final Thoughts
In electronics retail, the sale is the start of the relationship, not the end of it. A shop that sends the invoice on WhatsApp, answers service requests quickly, reminds customers before the warranty ends and suggests the right upgrade at the right time gives people a reason to come back. Start with the invoice message and one reminder, then build from there.
