Why WhatsApp Templates Get Rejected: 10 Common Reasons and How to Fix Them
You wrote the message, submitted it and waited. Then the status turned to "Rejected", often with a one-line reason that tells you very little. For a business planning a sale or a payment reminder, a rejected template means lost time. The good news is that most rejections come from a short list of causes, and almost all can be fixed with a rewrite.
This guide covers the ten reasons we see most often, with examples and the fix for each. For the wider process, read our guide to message template approval best practices and the explainer on template categories.
First, Read the Rejection Reason
Before you change anything, open the template in your dashboard and read the reason Meta gave. Common labels include incorrect category, invalid variable format, and content that violates the messaging policy. The label points you to the right fix below. Resubmitting the same text unchanged will only produce the same result.
**1. The Category Does Not Match the Content**
This is the most frequent cause. You submitted a template as utility, but it contains a promotion. Meta reads the content, not your label. A delivery update that ends with "Shop again and get 10% off" is not purely utility.
Fix: Split it. Send the update as utility and the offer as a separate marketing template to customers who have agreed to receive promotions.
**2. Variables Are Malformed**
Variables are the placeholders such as {{1}}, {{2}}. Meta expects them in order, with no gaps, and each with sample content. Common mistakes include skipping a number, using {{name}} instead of a number, putting two variables side by side with nothing between them, or starting or ending the message with a variable.
Fix: Number variables {{1}}, {{2}}, {{3}} without gaps. Put fixed words between them. Start with a word, not a variable. Provide a realistic example value for every variable.
**3. Too Many Variables for the Text**
A template that is mostly placeholders with very little fixed text looks like an attempt to send arbitrary content. Meta may reject it as too variable-heavy.
Fix: Keep enough fixed wording to make the purpose clear. If you need a lot of dynamic data, consider whether a WhatsApp Flow or a document attachment is a better fit.
**4. Vague or Unclear Content**
"Hello, we have an update for you. Please check." tells the customer nothing. Reviewers cannot tell what the message is for, so they reject it.
Fix: Say what, when and what next. Compare: "Hi {{1}}, your appointment at our clinic is confirmed for {{2}} at {{3}}. Reply YES to confirm or call us to reschedule."
**5. Promotional Language in a Non-Marketing Template**
Words like "limited offer", "best price", "hurry" and "buy now" signal marketing. Even a single line can change how the template is read.
Fix: Submit promotional text as marketing, and keep utility templates factual: dates, amounts, status and links.
**6. Formatting Problems**
Rejections also come from formatting: several line breaks in a row, extra spaces, unmatched formatting symbols for bold or italics, very long messages, or too many emojis. A message that is hard to read is hard to approve.
Fix: Use single line breaks, close every * and _ you open, keep the text concise, and limit emojis. Our WhatsApp text formatter helps you check bold and italics before you submit.
**7. Prohibited or Restricted Content**
Meta's commerce and business policies restrict certain products and services, and templates that promote them are rejected. Examples include tobacco, alcohol in many cases, gambling, and misleading health claims. Check Meta's current policy lists for your industry, because they are updated from time to time.
Fix: Do not promote restricted items through WhatsApp. For health businesses, describe services and appointments factually, without promising cures or guaranteed results.
**8. Links That Raise Suspicion**
Shortened links from unknown services, links that do not match your business domain, or links to pages that look unrelated can lead to rejection. Reviewers want to be sure the customer knows where the link goes.
Fix: Use your own domain or an established gateway's link. Put the link in a button when you can, and make sure the page loads and matches the message.
**9. Missing or Inappropriate Header, Footer or Buttons**
Buttons must match the purpose. A "Shop now" button on a payment receipt looks off. Media headers need a sample file, and the sample must be relevant. Buttons with a phone number or URL must be valid.
Fix: Pick buttons that fit the action: "Track order", "Confirm appointment", "Call us". Attach a clear, relevant sample for any image, video or document header. See reply buttons, list messages and CTA buttons for what each type is for.
**10. Duplicate Templates and Repeated Resubmissions**
Submitting nearly identical templates again and again, or resubmitting a rejected one without changes, wastes time and can look like an attempt to game the review.
Fix: Change the text in response to the reason, then submit once. Delete unused duplicates so your list stays clean.
A Before-and-After Example
A restaurant submits this as utility: "Hello {{1}}! Enjoy our amazing weekend buffet. Book now and get a free dessert!" It is promotional, so the category is wrong, and it begins with a greeting plus a vague offer.
Rewrite as a marketing template: "Hi {{1}}, our weekend buffet at {{2}} runs on Saturday and Sunday from 12 pm to 3 pm. Reply BOOK to reserve a table. Reply STOP to opt out." It has a clear purpose, correct category and an opt-out.
For a genuine utility message from the same restaurant: "Hi {{1}}, your table for {{2}} guests is booked for {{3}} at {{4}}. Reply YES to confirm or call us to change it." It relates to a booking the customer made.
Pre-Submission Checklist
1. Is the category honest? Any offer means marketing.
2. Are variables numbered in order, with fixed text around them and sample values filled in?
3. Does the first line state the purpose?
4. Are formatting symbols closed and line breaks normal?
5. Are links on your own domain or a trusted gateway?
6. Do the buttons and media match the message?
7. For marketing, do you have permission and an opt-out? See opt-in and data privacy.

Frequently Asked Questions
How long does approval take? Many templates are reviewed quickly, but timing varies. Do not plan a campaign launch for the same hour you submit.
Can I edit a rejected template? Yes. Edit the content according to the reason and submit again. You can also create a new template.
Will repeated rejections hurt my account? Occasional rejections are normal. Repeatedly submitting content that breaks policy can lead to restrictions, so fix the cause instead of retrying.
What if I disagree with the category? Adjust the wording to match the category you want, or accept the one Meta assigns. Do not strip out the substance just to change the label.
The takeaway: most rejections are about honesty and clarity. Choose the right category, number your variables properly and say plainly what the message is for. Do that, and approvals become routine.
